THREADBORNE CO. — PRIVACY POLICY

Last updated: October 25, 2026

1. About this policy

Threadborne Co., previously known as The Oddball Emporium, is an embroidery business based in Battle Ground, Washington, United States. “We,” “us,” and “our” refer to that business.

This policy explains how we handle personal information when you visit our websites or Shopify storefront, use our linked custom-quote forms, submit artwork, subscribe to drop alerts, place an order, or contact us.

For privacy questions or requests, email threadborneco@gmail.com.

2. Information we collect

Information you provide may include:

  • Contact details, such as your name, email address, business or organization name, and any phone number or address you provide.
  • Quote and project details, including garment types, quantities, colors, sizes, embroidery placements, requested dates, instructions, and messages.
  • Artwork, logos, photographs, documents, links, filenames, and information contained in files you upload or send to us.
  • Order information, including purchased items, billing and shipping details, transaction references, payment status, and communications about an order.
  • Subscription preferences and records of approvals, terms acknowledgments, and other choices you make.

Our custom-quote form does not collect payment-card numbers or take payment. When you pay through Shopify or another payment provider, that provider processes the payment information you submit. We receive the order and transaction information needed to administer the purchase.

Our websites and service providers also process technical information, such as IP addresses, browser and device information, request times, pages or actions accessed, cookie identifiers, and security or delivery logs. The quote system uses technical identifiers, including a hashed IP-based identifier where available, to help limit abusive requests. Email providers process information about delivery, failures, and other message events.

We receive information directly from you, from your use of our services, and from providers assisting with payments, fulfillment, communications, and website operation.

Please submit only information needed for your project and that you have authority to provide. Do not upload passwords, payment-card details, or unrelated sensitive personal information.

3. How we use information

We use information to:

  • Respond to inquiries, prepare quotes, and communicate about your project.
  • Review and digitize artwork, obtain approvals, complete embroidery, and fulfill orders.
  • Process payments through the selected provider and arrange delivery or pickup.
  • Maintain order, approval, accounting, tax, and customer-service records.
  • Send requested drop alerts and other marketing communications in accordance with your choices and applicable law.
  • Operate, troubleshoot, protect, and improve our websites and services.
  • Investigate misuse, prevent fraud, resolve disputes, and meet legal obligations.

A quote request alone does not subscribe you to our drop-alert mailing list.

Where a law requires a legal basis for processing, the basis depends on the purpose: taking steps you request before an order or performing an agreement; operating and protecting our business where permitted; meeting legal obligations; or your consent where required.

4. Service providers and other disclosures

We disclose information as needed for the purposes described in this policy to providers that help us operate the business. These include:

  • Shopify for our storefront, checkout, order management, and email-subscription records.
  • Website hosting, file-storage, and security providers for our custom-quote service, including ChatGPT Sites/OpenAI and Cloudflare infrastructure.
  • Resend for transactional quote emails and business notifications, and Google/Gmail for business correspondence. These services process the contact details and message contents needed for those communications.
  • Payment providers, shipping carriers, and suppliers or digitizing providers involved in an order you request or approve.
  • Professional advisers or authorities when needed for legal obligations, disputes, fraud prevention, or protection of lawful rights.

We may also disclose information when you specifically authorize us to do so. The information involved depends on the provider’s role and the service being used.

Our Shopify store is hosted by Shopify and uses Shopify Network Intelligence. We share information about visits, purchases, and other interactions with Shopify. Shopify combines information from our store with information from interactions with other merchants and with Shopify to provide Enhanced Services, including personalization, fraud prevention, and advertising features. This processing is subject to applicable consent and opt-out choices. Shopify and other service providers may process information in countries outside the country where you live.

Shopify explains its own processing and your choices in its Consumer Privacy Policy:
https://www.shopify.com/legal/privacy/consumers

You can exercise choices concerning Shopify’s processing through its privacy portal:
https://privacy.shopify.com/

Other providers may also have separate privacy notices for services you use directly.

5. Artwork and project confidentiality

We use submitted artwork and project information to assess your request and carry out approved work. Files may need to be shared with a provider helping prepare or fulfill that work.

Submitting artwork does not give us permission to publish it freely or sell it to others. We obtain separate permission before using nonpublic artwork or an identifiable custom order in advertising or a portfolio, as described in our Terms of Service.

Do not include information about other people in uploaded files unless you have authority to provide it for the project.

6. Cookies, analytics, and advertising choices

Our websites use cookies and similar technologies for functions such as maintaining a shopping cart, remembering settings, supporting checkout, and protecting forms. The custom-quote service uses a temporary security cookie or submission token to validate requests.

The Shopify storefront and connected services may also use these technologies for analytics, personalization, and advertising, depending on the features enabled and applicable consent choices. Some advertising-related disclosures can be considered “sale,” “sharing,” or “targeted advertising” under privacy laws even when no money is exchanged.

Use any cookie preferences or privacy-choice controls displayed on the storefront to manage the options they cover. You can also use your browser’s cookie controls; blocking essential cookies may prevent parts of the site from working.

You can access our Your Privacy Choices page through the storefront footer or by selecting this link.

This page provides an opt-out for visitors in the regions where the control is enabled. You may also request an opt-out of covered sale, sharing, or targeted advertising by emailing threadborneco@gmail.com. For choices concerning Shopify’s own processing, use https://privacy.shopify.com/. If a privacy control is unavailable or does not work as expected, contact us.

On our Shopify storefront, a recognized Global Privacy Control signal is treated as an opt-out of covered sale, sharing, or targeted advertising for the browser and device you are using in regions where the opt-out control is enabled. Using a different browser or device may require you to set your preference again. Applicable legal requirements continue to apply to our handling of opt-out requests.

7. Drop alerts and other emails

If you subscribe to drop alerts, we use your email address and subscription preferences to send those messages. You can unsubscribe using the link in a marketing email or by emailing threadborneco@gmail.com.

Unsubscribing from marketing does not prevent us from sending necessary messages about a quote, order, payment, delivery, or privacy request. We may retain a record of an opt-out to help respect your preference.

8. Retention and security

We retain information for as long as reasonably needed for the purpose for which it was collected, including following up on quotes, fulfilling orders, handling reorders or disputes, and meeting recordkeeping or legal obligations. The appropriate period depends on the type of information and our relationship with you.

Quote details, uploaded artwork, correspondence, and approval records can remain stored after a request or order is completed. Closing the form or browser does not delete a submitted request. You can ask us to delete information; some transaction, legal, security, or opt-out records may need to be retained.

We use access restrictions and other reasonable safeguards to protect information. No online transmission or storage system can be guaranteed completely secure. Information may also remain in provider backups until their normal retention cycles expire.

9. Your privacy rights

Depending on where you live and the laws that apply, you may have rights to request access to, correction of, deletion of, or a copy of your personal information; withdraw consent; restrict or object to certain processing; or opt out of covered sale, sharing, or targeted advertising.

Email threadborneco@gmail.com with your request and enough information for us to locate the relevant records. We may need to verify your identity or an authorized representative’s authority before acting. Please do not send sensitive identity documents unless we request an appropriate verification method.

We will respond as required by applicable law. If we cannot fulfill a request, we will explain the reason where required. Where the law provides an appeal right, reply to our response and ask for a privacy-request appeal. You may also contact the privacy regulator or other authority responsible for your area. We will not unlawfully discriminate against you for exercising a privacy right.

Information may be processed in the United States and other countries where our providers operate, whose privacy laws may differ from those where you live. Applicable legal requirements continue to apply to those transfers.

10. Children and external websites

Our services are intended for adult customers and authorized business representatives. We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information, email us so we can investigate and take appropriate action.

Our website may link to Instagram, payment services, or other external websites. Their operators control their own privacy practices. Review their notices when you use those services.

11. Policy changes and contact

We may update this policy as our services, providers, or legal obligations change. We will post the revised policy with an updated date and provide any additional notice or obtain consent when required by law. A policy update does not by itself authorize a materially different use of information when additional consent is required.
